Full-time Specialist Corporate Affairs (f/m/d) 

Your Job

  • Maintains the organizational meeting & reporting calendar for PLx US Corp
  • Supports leadership team with travel arrangements
  • Prepares and coordinates company meetings & workshops, including organization of monthly PLx US Leadership & quarterly shareholder meetings & workshops
  • Assumes responsibility for Corporate Governance (Board Resolutions & Corporate Filings)
  • Supports with executive affairs (contracts, objectives)
  • Supports interdisciplinary project teams within the framework of strategic initiatives and cross-divisional themes
  • Independently handles special projects of the shareholder & leadership teams
  • Supports with all aspects of operational, conceptual and planning tasks
  • Prepares and processes surveys, set-up & tracking of KPIs
  • Supports and processes interdisciplinary or strategic special projects and teams
  • Communicates management decisions to relevant parties
  • Prepares and drafts organizational instructions and guidelines (SOPs)
  • Prepares presentations, concepts and lectures, and maintains protocols from sessions and meetings of the management
  • Coordinates appointments and helps keep track of Management calendar
  • Plans company events, celebrations, holiday parties
  • Maintains office/kitchen supplies
  • Receives clients and assists with meetings as needed
  • Handles the front desk duties such as incoming and outgoing mail,
    Processing mail and packages, receiving and forwarding calls
  • Maintains in-house and external filing systems, including assistance with offsite storage issues

Travel is minimal, less than 15%, domestic.

Your Profile

  • Degree in Business Administration and or Communications/Marketing
  • Experience in Management Assistance or similar role in an international environment, proven track record of C-Level communication
  • Proficiency in MS Office, including Excel, Word, and PowerPoint
    Comfortable supporting 2 business or more leaders simultaneously
  • Excellent organization skills
  • Ability to create and propose financially sound solutions
  • Ability to assimilate and analyze information rapidly
  • Ability to identify and offer solutions to problems in a pragmatic way
    Simple contract review skills
  • Excellent command of the English language (written and spoken)
  • Excellent interpersonal skills and intercultural competence
  • Self-confidence and assertiveness
  • Confidence to work alone with minimal supervision as well as in a team setting
  • Loyalty and discretion
  • Flexibility and adaptability, ability to adjust rapidly to new, unknown, challenging situations
