Project Specialist (f/m/d)

Your Job

  • Act as administrator to internal time and project tracking system and enter all new projects into system
  • Manage logistics of teleconferences/Skype Meetings/GoToMeetings for team members as needed
  • Manage Partner’s calendar and field all questions regarding availability
  • Book Flight/hotel/rental car/train/restaurant reservations for Partner and manage expense reports
  • Arrange reservations for rented office space for client/internal meetings
  • Maintain department Organizational Chart and act as point of contact on it with HR team
  • Work with HR to help recruit for open positions and schedule phone screens for candidates
  • Help onboard new employees/consultants
  • Provide training to new employees on local systems
  • Keep files up to date on document management system
  • Keep track of all open opportunities (in Salesforce) to ensure timely follow up with clients
  • Track Project Budgets monthly, and update Account/Project Managers via monthly meetings
  • Maintain agendas for all staff meetings and produce PowerPoint slide deck for meetings
  • Assist with slides, proposals, contract review 
  • May mentor and train other Project Specialists

Your Profile

  • Bachelor’s degree in business or life science related field.  2 years office experience
  • Autonomous, concentrated and high-quality work
  • Excellent MS Office skills, especially Word, Excel, and PowerPoint
  • Advanced Excel usage will be expected in the role
  • Ability to work in a team
  • Excellent verbal and written English
  • Strong active listening
  • Ability to build lasting relationships
  • Creative and critical thinking
  • High level of follow-through and attention to detail
  • Ability to travel if necessary (approximately 5%)
