Your Job 

Main Purpose: to support to the Finance team at PharmaLex Ireland Ltd.
  1. Provision of support and assistance to the team at PharmaLex Ireland Limited as required.
  2. Keeping the Finance Manager abreast of any activities which could impact on the business and operations of PharmaLex Ireland Ltd.
  3. General office administration support as requested by the Managing Director
  4. Participation in the development, management, implementation, review, evaluation and continuous improvement of the Quality System of PharmaLex Ireland Ltd.
List of key functions by area
 
Debtors
  • Assist in the preparation of monthly sales invoices and compiling support information for invoices.
  • Issue invoices and statements to clients
  • Post sales receipts to Sage 50 Accounts
  • Assist with credit control and liaising with clients on outstanding invoices
  • Monitor the general accounts email for client queries on invoicing and respond promptly to same.
  • General filing and archiving
Creditors
  • Match purchase orders to purchase invoices
  • Process supplier invoices to Sage 50 Accounts
  • Ensure all supplier invoices are appropriately authorised for payment
  • Prepare monthly creditor payment request
  • Post creditor payments to Sage 50 Accounts
  • Prepare monthly creditor reconciliations
  • Monitor the general accounts email for supplier queries and respond promptly to same.
  • Timesheet entry on time recording system and tracking of outstanding timesheets
  • Assist in reconciliation between associate timesheets and associate invoices
  • General filing and archiving
Bank
  • Reconciliation of bank accounts including management of petty cash
General Ledger
  • Prepare monthly control account reconciliations and compile and post necessary journals to GL
  • Prepare management accounts to trail balance.
Fixed Asset Register
  • Maintain fixed asset register
Flexi-leave
  • Prepare monthly flexi leave report
Your Profile
  • Studying for accounts qualification
  • A minimum of 2 years and broad experience in accounting/finance within a fast-paced environment.
  • Highly motivated and deadline driven
  • Ability and drive to see tasks and projects through to the end is imperative.
  • Have worked in an environment where quality and compliance were central to organisational strategy.
  • A team player, with flexibility and adaptability to changing workloads
